{"id":680,"date":"2015-05-11T13:23:07","date_gmt":"2015-05-11T12:23:07","guid":{"rendered":"http:\/\/www.blog.moveadminister.co.uk\/?p=680"},"modified":"2025-07-24T10:23:53","modified_gmt":"2025-07-24T09:23:53","slug":"import-into-archive-administer-from-a-csv-file","status":"publish","type":"post","link":"http:\/\/blog.moveadminister.co.uk\/?p=680","title":{"rendered":"Import into Archive Administer from a CSV file!"},"content":{"rendered":"<p>\n\t<strong>Archive Administer<\/strong> can now import items and contents from a CSV (comma separated values) file, which can be created from an Excel Workbook sent from a customer, saving hours of input time and possible typing errors.\n<\/p>\n<p>\n\tTo do this you will need to layout your <strong><u>9<\/u><\/strong> Excel Workbook columns into the following order:\n<\/p>\n<p>\n\t<strong>REFERENCE, STATUS, STORAGEMEDIUM, CATEGORY, NOTEPAD, KEYWORDS, CONTENTSTATUS, CONTENTNOTEPAD, CONTENTKEYWORDS<\/strong>\n<\/p>\n<p>\n\tPlease note the following about the above columns:\n<\/p>\n<p>\n\t<strong>Column A &ndash; REFERENCE<\/strong> &ndash; Maximum of 25 characters &ndash; Must exist for any of the data to be imported. If the reference already exists then only the content information for the item will be imported.\n<\/p>\n<p>\n\t<strong>Column B &ndash; STATUS<\/strong> &ndash; Maximum of 3 characters &ndash; Can be <strong>In<\/strong> or <strong>Out<\/strong>, however, if left blank then the default Status will be used (<em>Tools -&gt; Options -&gt; Defaults -&gt; Archive -&gt; General Tab<\/em>).\n<\/p>\n<p>\n\t<strong>Column C &ndash; STORAGEMEDIUM<\/strong> &ndash; Maximum of 10 characters &ndash; Can be any of your Storage Medium codes (<em>Tools -&gt; Options -&gt; Archive Storage -&gt; Storage Mediums<\/em>), however, if left blank then the default Storage Medium will be used (<em>Tools -&gt; Options -&gt; Defaults -&gt; Archive -&gt; General Tab<\/em>).\n<\/p>\n<p>\n\t<strong>Column D &ndash; CATEGORY<\/strong> &ndash; Maximum of 10 characters &ndash; Can be any of your Archive Category codes (<em>Tools -&gt; Options -&gt; Archive Storage -&gt; Categories<\/em>), however, if left blank then the default Category will be used (<em>Tools -&gt; Options -&gt; Defaults -&gt; Archive -&gt; General Tab<\/em>).\n<\/p>\n<p>\n\t<strong>Column E &ndash; NOTEPAD<\/strong> &ndash; Maximum of 250 characters\n<\/p>\n<p>\n\t<strong>Column F &ndash; KEYWORDS<\/strong> &ndash; Maximum of 100 characters\n<\/p>\n<p>\n\t<strong>Column G &ndash; CONTENTSTATUS<\/strong> &ndash; Maximum of 3 characters &ndash; Can be <strong>In<\/strong> or <strong>Out<\/strong>, however, if left blank then the default Status will be used (<em>Tools -&gt; Options -&gt; Defaults -&gt; Archive -&gt; General Tab<\/em>). Please note that if the Content Status is different to the Item Status then the Item will be updated to reflect that Contents are both In and Out.\n<\/p>\n<p>\n\t<strong>Column H &ndash; CONTENTNOTEPAD<\/strong> &ndash; Maximum of 250 characters\n<\/p>\n<p>\n\t<strong>Column I &ndash; CONTENTKEYWORDS<\/strong> &ndash; Maximum of 100 characters\n<\/p>\n<p>\n\t<span style=\"color:#FF0000;\"><strong><u>Important!<\/u> &ndash; None of the columns above should contain a comma as these are used a column indicators &ndash; You have been warned!<\/strong><\/span>\n<\/p>\n<p>\n\tI would suggest that Row 1 of your Excel Workbook be laid out in this manner while you move your Workbook data to the appropriate columns (<em>I would also ensure you remove this row before you Save the Workbook otherwise you will import an Item called REFERENCE with a Content too!<\/em>).\n<\/p>\n<p>\n\tOnce you have laid out your Workbook simply save it as a CSV file, and it must be a CSV file in order for it to be imported. This is an option in Excel when you go to do a Save As, and is usually found in the <strong>Save as type<\/strong> field, just below the <strong>file name<\/strong> field.\n<\/p>\n<p>\n\tTo import simply open the customer in <strong>Move Administer<\/strong>, and choose <em>Actions -&gt; Archive Storage -&gt; Items<\/em>. From the Archive Items Browse simply choose <em>Actions -&gt; Import CSV<\/em>. You will then be prompted to locate the CSV file to import and once chosen the import process will begin.
